How to split travel expenses with friends

Money is the number one cause of arguments on group trips. The good news: with a clear method agreed before you leave, settling up takes five minutes.

In short: decide what is shared and what isn't, log every shared expense as soon as it happens (who paid, how much, for whom, in which currency), and at the end settle according to the balances, with one payment per person.

The three most common methods

1. Shared kitty. Everyone puts in the same amount at the start and you pay from it. Simple, but it works badly if someone only joins some activities, or if the kitty runs out halfway.

2. Whoever pays logs it. The person who pays records the expense and who it was for. At the end you calculate the balances. It's the fairest and most flexible method — and the one expense-splitting apps use.

3. Everyone pays for themselves. Fine for personal meals and shopping, not for the house, car, fuel or tolls.

In practice the best approach combines 2 and 3: log shared expenses, skip personal ones.

Worked example

Four friends — Anna, Luke, Martha and Paul — spend three days in Lisbon:

  • Anna pays the apartment: €480 for all four

  • Luke pays the rental car: €120 for all four

  • Martha pays a dinner: €160 for all four

  • Paul pays a museum: €30 for himself and Martha only

Each share: the shared expenses (€760) are €190 each; Paul and Martha add €15 each for the museum.

Paid

Share

Balance

Anna

€480

€190

+€290 (gets back)

Luke

€120

€190

−€70

Martha

€160

€205

−€45

Paul

€30

€205

−€175

Three payments settle everything: Luke gives Anna €70, Martha €45 and Paul €175. An expense-splitting app does this automatically while you travel, with no mistakes.

Expenses in foreign currencies

Outside your home currency, log each expense in the currency you paid in and let the app convert it to the group currency. No manual conversions, and balances stay correct.

Tips to avoid arguments

  • Decide upfront what is shared (accommodation, car, groceries) and what isn't.

  • Log the expense right away, with a photo of the receipt.

  • Keep balances visible to everyone during the trip.

  • Settle within a week of getting home.

Which app to use to split travel expenses

  • Expense-only apps (for example Splitwise or Tricount): great if that's all you need.

  • Group trip apps like Travel Together: expense splitting (multiple currencies, receipts, automatic balances, Excel export) sits next to the itinerary, chat, checklists and documents of the same trip, so you don't need another app.

FAQ

How do you split costs if someone skips an activity?

Log the expense only for the people who took part: the balances take it into account.

How do you handle expenses in different currencies?

Log each expense in its own currency: the app converts it to the group currency.

Is a shared kitty or logging expenses better?

Logging expenses is fairer and more flexible; a kitty works for small groups with the same plan for everyone.
